Manage Student Numbers for Placement Requests and Locations

Placement Requests can be assigned to a single location/department or smaller groups can be assigned based on availability, request, or any other agreements between Providers and Schools, using the instructions below.

Instructions

1. From the left-hand menu, use the drop-down to select the Rotation Period and Provider. The selected rotation period will be applied across all modules and screens.

2. Under Placement Requests, select Cohort Requests.

3. On the left side of the page, select the request you want to assign. Use the filter options to narrow your search if needed. The details of the selected request will display on the right. 

  • Tip: Click and drag the vertical bar in between the page to adjust the viewing area of each side

 

4. On the right side of the page, scroll to the Availabilities section. By default, the table will show the best matches to the Placement Request Details, including matching Location/Department/Unit and matching shifts highlighted in green.

  • Tip: It may be useful to click and drag the blue bar more to the left for a better view of the table
  • Click the View Scheduled Placements button underneath the Location/Department/Unit to see other assigned placements already assigned to those Locations/Departments/Units.
  • To view all Location/Department/Units, including those that do not match the school's Placement Request, click the Show All button at the top of the table.
  • Click Allow Overlap to see other shifts within that Location/Department/Unit highlighted in orange. These shifts have already been filled by another placement.

 

5. Check the box(es) under the days of the week and shifts you wish to assign to this Placement Request, and enter the number of students in the far right text box in the Number of Slots column. 

 

6. Click Assign above the table to assign the placement to the selections.

 

7. Include any comments about the placement, then click Save. Comments are viewable by both the Provider and the School.

 

8. A success message will display indicating the placement request has been assigned.
