Assigning Preceptor Placement Requests

A Preceptor can be assigned to a Placement Request either before or after the request is assigned.

Assign a Preceptor to a new Placement Request

1. From the left-hand menu, use the drop-down to select the Rotation Period and Provider. The selected rotation period will be applied across all modules and screens.

2. Under Placement Requests, click Preceptor Requests

3. Select the Request ID on the left to view its details on the right. 

  • Tip: Click and drag the vertical blue bar from left to right to view more details from either side or click the arrow on the bar to view the right side only.
  • Optional: Use the filters above the Placement Request table by clicking Show Filters and using the dropdown options.

4. On the Request Details pane, review the Placement Request Details then scroll to Availabilities.

5. By default, the Locations that best match the request will be displayed in the table. Within the preferred Location, check the box(es) for the day(s) to assign this request to and enter 1 on the Number of Slots field, then click the green Assign button above the table.

  • To view all available Locations, including those that do not match the request's preferences, click Show All next to Best Matches. 
  • To view all shifts, including those that are already filled by other placements, check the Allow Overlap checkbox. Shifts highlighted in yellow have already been assigned to other placement requests. If you assign the request to those shifts, it will result in overlapping student groups within that unit.
  • To view other placements assigned to that Location, click the View Scheduled Placements button under the Location name.

6. In the confirmation window, add an optional comment and select a Preceptor. A Preceptor can also be chosen at a later date if they are not yet known.

7. Click Save

8. A confirmation popup will appear indicating that the request was successfully assigned. 

 

Assign a Preceptor after a Placement Request has been assigned

1. Under Placement Requests, navigate to Assigned

2. Click on the Request ID of an assigned Preceptor placement

3. In the Placement Request Details window, scroll down to Assigned Preceptor

4. Click Add Assignment

5. Select a Preceptor from the dropdown list and click Save. Providers cannot select a Student if the field is blank. The student can only be selected by a school.

6. At the bottom of the Placement Request Details window, click Save again to confirm your changes.
