Review Submitted Documentation for Clinical Requirements

Schools will have to review students' and instructors' submitted documentation for Clinical Requirements before the start of a rotation and attest to their clinical readiness. School users can review and approve requirements a few different ways:

  • Method 1 (shown below): Using the Attest Students and Instructors... link on the Assign to Rotation page, where you can also assign students to a rotation
  • Method 2: On the Attest Requirements page using the filters and/or search bar at the top of the page
  • Method 3: Using the Students & Instructors link under the Request ID on the Assigned Placement Requests page, if students have already been assigned to that rotation

The steps below assume that documentation has been uploaded by a School User with access to CCPS, or by the Student/Instructor using MyCCPS, and the Requirement's status is "In Review".

Instructions

1. From the left navigation, select the Rotation Period and School from the drop-down menu. The Rotation Period filter will apply to all modules and screens.  

2. Navigate to Onboarding > Assign to Rotation from the left navigation menu

3. Use the filters under Step 1 to narrow down to a specific Provider or associated Course, then click Refresh

4. Under the upcoming rotations on the left, click the blue bar for any Request ID to expand it and view the placement details and assigned students. Alternatively, check the box next to Expand All to expand student assignment details for all assigned placements.

5. Within a specific request's Student Assignment Details, click the Attest Students and Instructors assigned to this request link. This will take you to the Attest Requirements page already filtered to the specific placement.

6. Find each Student or Instructor's Requirements on the left. Select any row to view its details on the right. The screenshot below highlights the selected Requirement name in purple, the student's name in orange, and the requirement's status in blue on both sides of the page.

  • Tip: Drag the Person column to the far left of the table to group Requirements by Person

7.  Within the Requirement Details, scroll down to review any submitted documents under the Attachments area and any user-submitted comments under the Comments area. Use the Download and Preview buttons to review the attachments. Note that Microsoft Word files, including .doc and .docx, cannot be previewed and must be downloaded.

8. When ready to approve, scroll back to the top of the Requirement Details and click Approve. Approving a requirement will change its status to Completed. Once it's in a Completed state, it cannot be changed further.

  • For schools who use MyCCPS, if the submitted documents do not meet the requirement, click Return to Student and add a comment for the student's review. This will place the requirement back in "Incomplete" status and will need to be reviewed again.
